Have you ever called someone and gotten their voice mail instead of a real person? And because you weren’t expecting to leave a message you ended up sounding like an idiot by the time you were through? I’ve done that SO many times!
In an effort to keep myself from looking like an idiot, I developed a plan for making phone calls and leaving messages. Here’s the three-step process that keeps me from looking like an idiot – well, most of the time:
1. Plan ahead what you’ll say in case you have to leave a message.
2. Keep it as short as you can. Fewer words mean fewer opportunities to sound stupid.
3. Leave your name and phone number but say them slowly. I’ve gotten so many messages where I had to listen multiple times in order to figure out the name and phone number. Of course, with caller id and cell phones, the phone number isn’t an issue anymore but the name sure can be.
And that’s it. That’s all it takes to make you sound professional and polished when you leave a message instead of . . . well, you know.
